Sync In A Blink User Documentation 3.0


IMPORTANT NOTE: If you are using iTunes® to sync your iPhone™ contacts to Gmail, please disable this feature from iTunes® before starting to use Sync In A Blink. You will get duplicate contact records and potential conflicts when sychronizing if you sync your iPhone™ with Gmail via multiple channels (i.e. Sync In A Blink and iTunes®).

If you are using Exchange to sync with the same Gmail account you are going to use Sync In A Blink to sync with, you must disable the contact syncing portion of the Exchange account. Sync In A Blink and Exchange will conflict with each other when syncing the same account.

Introduction
Sync In A Blink is designed to simplify synchronizing contacts between your iPhone™ and your Google™ Gmail™ account. It has been created to support two way synchronization, so that any changes made to either side will be replicated to the other.

Sync In A Blink gives you the option to merge contacts during your initial sync. This allows you to keep your contact lists on your iPhone and Gmail intact and Sync In A Blink will match them based on the contact name, email address, and other criteria. Once complete, it creates a one to one pairing of the iPhone contact to the Gmail contact. This means you have the freedom to change any information for the contact, including the contact's name, and the synchronization will still be able to complete correctly. You may even create contacts without a name, and they will be processed without any issues. This method of "pairing" has helped us overcome some issues we have experienced in the past with other syncing tools we've personally used. For example, when changing a person's name (i.e. person gets married) the contact was duplicated.

You have 2 options before the first sync starts: clear your Gmail contacts or merge your Gmail and iPhone contacts together. During the first sync, a one to one mapping is created between each contact that is added to the iPhone from your Gmail contact list, as well as any contacts added to your Gmail contact list from your iPhone.

In addition to syncing your contact lists, Sync In A Blink also creates a backup of your contacts, which you can email to yourself, so that you never have to worry about losing your contact list.

Sync Contacts Settings
Before you can begin using Sync In A Blink to synchronize your contacts, you must enter your Gmail account settings. These settings are used to connect to your Gmail account to retrieve and update your contact list. If you have not entered these settings when you start the application you will be taken to the settings page. On the iPhone settings page you must enter a Gmail email address and password. This is the Gmail account you will sync with. We do not store these credentials anywhere other than on the iPhone itself. They are never transmitted off the iPhone except to retrieve your contact list from Gmail. Once you have entered the criteria, select the Save button.

Before the settings are saved, Sync In A Blink will validate that the settings you entered are correct. If they are not correct, you will be given a warning message. If you enter the incorrect criteria too many times, Gmail will require that you validate youself by completing a "visual puzzle", as in the image below. This verifies to Google that you are in fact a user attempting to connect, and not some malicious code attempting to break into an account. Simply enter the letters displayed in the image, along with your correct settings and hit save.

Once you have saved your settings, select the Sync Contacts button from the menu bar at the bottom of the app. This will open the main sync screen, where you may select the Start Syncronization button to begin synchronizing your contacts.

In addition to saving your Gmail settings, you also have the following Sync Options:

Indicate if you are syncing contacts with other providers - If you are using Microsoft Exchange (not to be confused with Microsoft Outlook) or MobileMe to synchronize your contacts, you must indicate those programs here. Sync In A Blink must be aware of these programs when syncing, or it will be unable to synchronize your contacts properly. It is also important to note that you cannot use Exchange to sync to the same Gmail account that you are using Sync In A Blink with. You need to disable the contact syncing on this Exchange account before using Sync In A Blink or they will conflict with each other.

Group Syncing - If you would like to only sync a selected group of contacts between Gmail and your iPhone, enable Sync selected groups only. Once you have enabled this option, a list of your Gmail contact groups will show up. Simply select the groups you would like to keep in sync. Any contacts outside of these groups on Gmail or on your iPhone will not get synced.

Sync contacts with no name - Anytime you receive an email from someone not on your contact list, that email will appear as a "suggested" contact by google and would be synced. Most of the time, these suggested contacts have no name associated with them, only an email address. So, to exclude most suggested contacts from the synchronization process, the option to sync contacts with no name is disabled. If you wish to synchronize these contacts as well, you will need to set this to YES.

Backup Gmail contacts - Enable this option to create a csv backup file of your Gmail contacts before each sync. This file can be accessed at any time through the History for a particular sync and can be used to restore you Gmail contact list to your Gmail account. Backups do add extra time to the synchronization process, so disabling this option will lower the time required for a sync. However, we highly recommend that you enable this setting.

Backup iPhone contacts - Enable this option to create a csv backup file of your iPhone contacts before each sync. This file can be accessed at any time through the History for a particular sync and can be used to restore you iPhone contact list to your Gmail account. Backups do add extra time to the synchronization process, so disabling this option will lower the time required for a sync. However, we highly recommend that you enable this setting.

Copy Images - From iPhone to Gmail - This setting determines how images are synced from iPhone contacts up to Gmail contacts.  The following options can be set:
Always - The image will always be copied to the matching Gmail contact, for any contacts on the iPhone that have an image. It is not recommended to use this option, as syncing images is slow due to their file size.
If no image exists  - The image will only be copied to the matching Gmail contact if the Gmail contact does not have an image already set. This will be done for any contacts on the iPhone that have an image set. This is the recommended and default setting.
Never - Images will never be copied from iPhone contacts to their equivalent Gmail contacts. Use this option to increase the speed of syncing, as syncing images is slow due to their file size.

Copy Images - From Gmail to iPhone - This setting determines how images are synced from Gmail contacts down to iPhone contacts.  The following options can be set:
If no image exists  - The image will only be copied to the matching iPhone contact if the iPhone contact does not have an image already set. This will be done for any contacts on Gmail that have an image. This is the recommended and default setting.
Never - Images will never be copied from Gmail contacts to their equivalent iPhone contacts. Use this option to increase the speed of syncing, as syncing images is slow due to their file size.

*IMPORTANT NOTE: There is no Always option for syncing images down from Gmail to the iPhone. This is due to the fact that Gmail compresses contact images. So if you were to sync an image up to Gmail from your iPhone and then back down to the iPhone, it would be compressed in the process and lose image quality.
 
Reset iPhone - Reset Sync in a Blink - This will clear your settings and remove any associations between your iPhone and Gmail (however, your sync history will be kept intact). It will almost be as if you had just installed the application and had not synced yet. You will be forced to either clear your Gmail contacts or merge your contacts together when you perform your next sync.

First Time Sync
First Sync
When you first sync your iPhone with a Gmail account, you must tell the application how you want your contacts to sync. You have the option to:

Clear Gmail Contacts - This will erase all the contacts on your Gmail account. Once you perform the sync, all contacts from your iPhone will be copied to your Gmail account. As with clearing iPhone contacts, you do not need to worry about losing your Gmail contacts list as a full backup of your Gmail contacts is made on the iPhone before the synchronization begins. See the Contact List Backups section for information on restoring backups.

Merge Gmail and iPhone Contacts - With the release of Version 2.0.1, this is now the recommended option for your initial sync. Any contacts that exist on both sides will be matched by Sync In A Blink and any contacts that only exist on one device, will be copied to the other.

This option is useful for those who have contacts in both Gmail and on an iPhone where the contact lists may be different on each device. Instead of having to manually enter all the contacts onto a single device and sync them to the other, they may now use Sync In A Blink to do this for them. For those who have many contacts in common between their iPhone and Gmail, Sync In A Blink will match those contacts to each other, reducing the number of duplicates causes by copying one contact list to the other. If you do end up with duplicate contacts on your iPhone that Sync In A Blink was unable to match, you have the option of deleting one of the duplicate contacts from the iPhone side and syncing again, or merging the duplicate contacts. If you choose to delete one of the duplicates, be careful that you have all the person's information in the contact you are keeping.

Also keep in mind, that any duplicates created on your iPhone with the same email address, will appear as conflicts on your Gmail side. This is because Gmail does not allow the same email address for more than one contact. That is a restriction imposed by Gmail and we can not circumvent it.

The first time you sync, you will also be shown a message with the same explanation above. You can view this message at any time by selecting the Information Icon button on the top right corner of the screen.

Once you have selected the option you want, the contact synchronization will begin. The time required for the sync will depend on the number of contacts that are being updated. The first time you perform a sync, it will be slower, but subsequent syncs will be shorter.

Sync Details
When you complete a contact sync, Sync In A Blink displays a details screen with information about the sync. The sync result indicates whether the sync completed or not, and the Started and Ended date and times indicate when the sync began and ended. This detail page will be stored and can be later viewed from the History screen.

Following the sync details, a list of statistics display what occured during the sync. The following stats are displayed:

iPhone contacts added - This is the number of contacts added to your iPhone contacts list. These contacts previously existed only on your Gmail contacts list, but are now on both. Click on this to view a list of all contacts added.

iPhone contacts updated - This is the number of contacts on your iPhone that were updated. These contacts existed on both your iPhone and Gmail account prior to the sync and were modified in some way on Gmail. The same changes that were found on the Gmail side, were then done to those contacts on the iPhone during the sync. Click on this to view a list of all contacts updated.

iPhone contacts deleted - This is the number of contacts on your iPhone that were deleted from the iPhone contacts list. These contacts existed on both your iPhone and Gmail account prior to the sync and had been deleted from your Gmail account. Because they were deleted on your Gmail account, they were also deleted from your iPhone during the sync. Click on this to view a list of all contacts deleted. You may restore deleted contacts from this screen.

Gmail contacts added - This is the number of contacts added to your Gmail account contacts list. These contacts previously existed only on your iPhone, but are now on both. Click on this to view a list of all contacts added.

Gmail contacts deleted - This is the number of contacts on your Gmail account that were deleted from the Gmail account. These contacts existed on both your iPhone and Gmail account prior to the sync and had been deleted from your iPhone. Because they were deleted on your iPhone, they were also deleted from your Gmail account during the sync. Click on this to view a list of all contacts deleted. You may restore deleted contacts from this screen.

Conflicts found - This is the number of contacts that could not be synced. This is caused by the same data being changed for a contact on the iPhone and your Gmail account. For example, if you changed a contact's home phone number on your iPhone to a new number, and you changed that same contact's home phone number on your Gmail account to a different new number you would have a conflict. Sync In A Blink does not support merging of data, so it does not know which phone number to keep. Thus there is a conflict. You must resolve all conflicts through the Conflicts screen.

CSV Backups Prior to Sync
The final section of the Sync Details screen, allows you to email yourself a backup of your contact lists that were made prior to the sync. When you first begin a sync, a backup of your iPhone contacts and Gmail contacts are created and stored on your iPhone. By clicking the appropriate button, one of these backups will be sent to you in an email that you can use to restore the contacts to your Gmail account. By default, the Gmail backup only occurs on your very first sync and must be enabled on the settings screen if you want to create backups for each subsequent sync. The iPhone backups are enabled by default. We highly recommend that you enable Gmail backups at all times. More information about the backups is discussed in the next section.

Once you are done with the Sync Detail screen, select the OK button to return to the contact sync main screen.
Expanding Sync Details - Contacts Deleted Example
The details for the number of contacts Added, Deleted and Updated on your iPhone or Gmail account can be expanded to see the exact contacts modified. This is especially userful for viewing contacts that were deleted, as these screens always provide an option to restore the contact.

In the above Sync Details example, we see two contacts were deleted from the iPhone. By selecting that summary item, an iPhone Deleted screen will display the names of the contacts deleted. From here you may select a name to view the details for that contact and restore the contact if you wish.

In the same way, you may also view the contacts that were added or updated. Like the Sync Details, all this information is stored in the Sync In A Blink history. So at any time, if you discover a contact is missing or has been editing and you wish to restore the contact, you may do so through the History screen

Contact List Backups
Each time you perform a synchronization, a separate backup is made of the contacts on your iPhone and Gmail account before the sync. These backups are stored as Comma Separate Value (CSV) files. They follow the Gmail format that is used when exporting contacts from Gmail. These files can be used to restore a contact list to your Gmail account.

When a sync is complete, the Sync Details screen gives you the option to email yourself a copy of the iPhone or Gmail csv file backup. Doing so will launch the iPhone mail client with a new email that contains the csv file as an attachment. This will over the Sync In A Blink application but will not close it. After sending the email you will be returned to Sync In A Blink. In order to restore the backup, you must download the attachment onto the computer you use for accessing Gmail. Then go to your Gmail Contacts page and select the option to import contacts. Select the .csv backup file you just saved to import them into Gmail.

Backup files are linked to a history event, so that you may go back at any time and email yourself a copy of a backup file. This is done through the History screen.

Conflicts and Conflict Resolution
While syncing, Sync In A Blink may encounter contacts that have had the same data changed on both the iPhone and your Gmail account. For example, you would have a conflict if you changed a contact's home phone number on your iPhone to a new number, and you changed that same contact's home phone number on your Gmail account to a different new number. These contacts are considered conflicts and during the syncing process they are recorded for later correction.

Another way a conflict may occur, is if two contacts have the same email address. Gmail does not allow this, so if you create two contacts with the same email address on the iPhone, they will cause a conflict when attempting to sync. This may also occur if you have a new contact on your iPhone and on Gmail that both share the same email address. When you attempt to sync these new contacts, there will be a conflict when Sync In A Blink attempts to copy the contact from your iPhone to your Gmail account. This type of conflict is discussed in more detail below.

After the syncing is finished and you have finished reviewing the details of the sync, you may view the conflicts and select the data which you want to keep. This is known as conflict resolution. Once the sync is complete, a badge will be added to the Conflict menu item on the lower menu bar indicating the number of conflicts found (if any):

To view the conflicts, select the Conflicts button on the lower bar menu. This will open the Conflicts screen and any contacts with a conflict will be displayed, as in the image on the right.

Only the name of the contact is displayed in this screen. This allows you to pick which contact you want to view and resolve conflicts for.

Conflict Main Screen Once a contact has been selected from the main Conflicts screen, all the sections of the contact that have conflicts will be displayed. Here we see a contact with a single conflict in email addresses. The first item we see is a home email. The combined iPhone and Gmail labels, indicate that this email address is the same on both the iPhone and your Gmail account. So it is not in conflict. Next we see two work email addresses. The current work email on the iPhone is displayed and indicated by the iPhone label next to the address. The current email address on the Gmail account is also displayed, and is indicated by the Gmail label. This indicates that a work email address was changed on both the iPhone and Gmail account.

At this point you have several options. You could keep the address stored on the iPhone contact, this would update the contact in the Gmail account to match the iPhone contact. Or you could keep the address stored on the Gmail account, in which case the iPhone contact would be updated to match the Gmail contact. Or you could keep both email addresses, then both would appear as work emails on your iPhone and Gmail contact lists.

At any time, you may select the iPhone or Gmail button at the top of the screen next to the Differences title. This will open another screen displaying the complete list of information you have for the currently selected contact on either the iPhone or Gmail. This is useful for reference purposes when deciding what information to keep.

When you view the conflicts for a contact, all the items displayed will be checked. This indicates that they will be kept. If you not wish to keep an item, simply touch that item to remove the checkmark. In this example, we want to keep the home email address that is not in conflict, and keep the work address found on Gmail. We will discard the iPhone work address:
Save iPhone Number
Be sure to only uncheck the email addresses which you do not wish to keep. When you have finished selecting the address you wish to keep, select the Save Contact button to resolve the conflicts. All the addresses you selected will be saved, and any other addresses in conflict will be discarded.

If you need to refer to this help while using the application, you can select the Information Icon button. This will display the Conflict Resolution help in the application.
You may also come across conflicts caused by an error when attempting to update or copy a contact to your Gmail account. This is often caused by having multiple contacts with the same email address, as Gmail only allows unique email addresses for different contacts.

If this occurs, the conflict screen will indicate an error occured while saving the contact to Gmail. You may then choose to remove certain items from the contact. For example, if you realised the email address was already in use, you could drop it from the contact.

Conflict Main Screen If Sync In A Blink detects that a duplicate contact was created with the same email address of an existing contact, it will display an error message and will give you two options:
1) Manually fix the contact by selecting the fields you would like to keep or
2) Merge the duplicate contact with the existing contact.
This will also occur during your first sync if two contacts exist on your iPhone with the same email address.

To view the details of the contact in question, before merging, select the iPhone button from the top of the screen, next to the Error title. This will open a display of all the contacts details.

If you decide to merge the contact, select the Merge with duplicate contacts button. This will take you to the Merge screen with the selected contact and any duplicates pre selected for you to merge. You would then merge the contact in the same way you woud perform a normal contact merge.

When you save the contact from the conflict screen, Sync In A Blink will attempt to save your changes to Gmail again. If successful, the conflict will be remove.

History
The history screen of Sync In A Blink tracks all syncs performed by the application. The history screen lists each sync by the date and time it was started, with the most recent sync at the top.

To view the history for a particular sync, select the sync based on its date and time. This will display the details for the sync. These are the exact same details displayed on the Sync Details screen after the sync was completed.
Main History Screen
You may delete individual history entries from this screen, by touching the edit button on the top left. This will display a delete icon next to each row. Touching the delete icon for a row, will bring up a delete button for that row, which will allow you to delete the history entry represented by the row. When you touch the delete button, a confirmation message will be displayed. Touch Yes to delete the row and associated history entry. Deleting a history entry is permanent and cannot be undone.
If you select a row and open the sync details, you will have access to the csv backup files that were created before the sync (if any were created). These contain backups of the iPhone contact list and the Gmail contact list, prior to the synchronization. You may select the appropriate button to have the contact list emailed to you. Remember, if you select the option to email one of the backup lists, the iPhone email client will be opened with the csv fileas an attachment. After sending or cancelling the email, you will be returned to the Sync In A Blink app. If you wish to email both files you will have to send two emails.

You will also be able to view details of the exact contacts that were added, modified, and deleted during a sync. You may then choose to restore these contacts as needed. For example, if a contact was deleted and you later decide you need that contact information again, you may restore the contact.

Finally, you may choose to delete the current history entry you are viewing, and any entries saved before it. This is helpful for cleaning up your list of history entries if you wish to remove several old entries. Simply touch the Clear this and all Prior Entries button and you will be shown a confirmation screen asking you to confirm the delete. Touch Yes to continue. Be careful when deleting many history entries in this manner, as deleting history is permament and cannot be undone.

Merging Contacts
Merge Screen The Merge screen of Sync In A Blink, allows you to merge multiple contacts on your iPhone into a single contact. To begin, select the Merge screen button from the application menu. This will open the Merge Contacts screen.

Select the Add contact to merge button to begin selecting contacts to merge.

Alternatively, you may let Sync In A Blink suggest contacts to merge. It will attempt to find contacts that may be merged based on contacts' Name and Email address. To do so, select the the Suggest contacts to merge button and then Refresh.

When you select Add contact to merge, your entire contact list will be displayed. This allows you to select any contacts you wish to merge into a single contact.

In this example, you see a "Jane Doe" and a "Jane Doe-Smith" contact. The contacts contain different information, so we cannot simply delete one. Instead we will merge them into a single contact.

Select the first contact you wish to merge, this will automatically add the contact to the list of contacts to merge and return you to the previous screen. Select the Add contact to merge button again from the previous screen and select the second contact you wish to merge. You may merge as many contacts as you wish into a single contact.

For this example, we are mergine just two contacts. Once you have selected a contact from the contact list and are returned to the Merge Contacts screen, you may click on that contact to view the complete contact information. If you decide you do not wish to merge a contact, simply click the Cancel button. This will display a "Delete" option, which you may select to remove the contact from the list of contacts to merge.

Once you have selected all the contacts you wish to merge, select the Next button in the top right corner of the screen to continue.

The next screen will display all the fields from all the contacts you have selected. In this example, we have only a handful of fields. Any fields you do not wish to keep, simply uncheck. For example, the contacts we are merging have different last names. So we need to select the last name that we wish to keep.

Once you have selected all the fields you wish to keep, select the Preview button in the top right corner of the screen to continue.

The final screen in the merge process is the Preview Merge screen. This screen displays the new contact that will be generated as a result of the merge. The contact, and all fields for the contact, are displayed exactly how they will appear in your contact list once the new contact is created.

To finish the merge and create the new contact, select the Save button in the top right corner of the screen. If you do not wish to complete the merge, select the Cancel button.

Manage Contact Groups
Contact groups are automatically added from Gmail to your iPhone every time you perform a sync with Sync in a Blink. Unfortunately, you cannot change a contact's group from within the native iPhone address book application. Because of this limitation, there is an option within Sync in a Blink to edit the groups that a contact belongs to.

From the "Manage Contact Groups" option within the More tab, you have two sections, Manage by Contact and Manage by Group. The first section is Manage by Contact and gives you the following two options:
  • View ungrouped contacts only - This screen lists all contacts that belong to no groups. You will need to hit "Refresh" to refresh this list.
  • Find a contact - This screen allows you to browse your entire address book and filter by Groups.
From either of these screens, you need to select a contact in order to edit its groups. Once a contact has been selected, you will be presented a listing of all contact groups. A checkmark beside a group means that the selected contact belongs to this group. You can toggle a contact's group membership by tapping on the appropriate row. Once you are satisfied with your changes, hit "Save". Changes are immediately saved to your iPhone, but you will need to initiate another sync for the changes to appear in Gmail.


The second "Manage Contact Groups" section also allows you to Manage by Groups. To create and edit groups, select the Edit button in the top right hand corner of the screen. The list of groups will change to an editable list where you can create a new Group or delete an existing Group. When you select the option to create a new Group, you will be taken to the Create Group screen. Here you can enter the name for the Group and add Contacts to the group. To add contacts, select the "Add Contacts to the Group" option and you will be taken to a list of all Contacts not already in that Group. You may then check off as many contacts as you want to add and hit Add in the top right corner to add those contacts. Contacts may also be removed from the Group by clicking on the Cancel button. When you are done editing the Group, hit "Save". Changes are immediately saved to your iPhone, but you will need to initiate another sync for the changes to appear in Gmail. If you are syncing selected Groups only, any groups you create will have to be added to the list of selected Groups to sync on the settings page before they will be created in Gmail.


Fields Sync In A Blink Does Not Synchronize
There are some fields that Sync In A Blink does not synchronize. These are fields that exist on one account, but not on the other. The general rule of thumb is, if the field exists on both the iPhone and Gmail account, it will be synced. If not, then it will not be synced.

Frequently Asked Questions
Will Sync In A Blink sync my contacts automatically?
No, Sync In A Blink will not sync your contacts automatically. To sync your contacts you must open the app and select the Start Synchronization button to perform a sync.

Why are my Suggested Contacts being synced to my iPhone? I don't want this!
Google does not let us access the "Suggested Contacts" groups. We have no way of discerning whether a contact has been suggested or not. There are two ways to work around syncing Suggested Contacts:
  1. Disable the option to Sync contacts with no name.
  2. Enable Group Syncing.

    Create custom groups in Gmail and place all of the contacts you would like to keep synced in these groups. Go to the Settings tab in Sync in a Blink and select the custom groups you would like to keep in sync. Only contacts in these groups on your iPhone and on Gmail will stay in sync.

    Just remember that when you add a new contact on your iPhone that you add it to one of these groups. You can add a contact to a group by going to the Groups view in your Address Book, selecting a group, and tapping Add Contact. When you save the contact, the contact will automatically get added to that group. By default, if you add a contact from the "All Contacts" view, the contact will not have a group.

Why can't I clear my iPhone contacts on my first sync or from the Settings page?
Between versions 2.0 and 2.0.1, Apple explicitly asked us to remove the ability to clear iPhone contacts. They would not allow us to release another version until we removed this functionality. This means that you can no longer clear your iPhone contacts when you perform your first sync or on the Settings page.

However, there is a workaround to clear your iPhone contacts:
  1. Create a dummy Gmail account.
  2. Enter your new Gmail credentials into Sync in a Blink.
  3. Do a sync by selecting "Clear Gmail contacts". Once the sync is done, go to your new Gmail account and delete all of those contacts.
  4. Go back to Sync in a Blink and do a sync. This should clear all of your iPhone contacts.
Now, if you want to push your contacts from Gmail to your iPhone, enter in the credentials for your original account and sync by Merging your iPhone and Gmail contacts together.

Support and Updates
